Manage overall mission & objectives of the WES PTA. Act as liaison between parents and principal / staff. Help recruit PTA Committee Chairs. Create agenda and facilitate WES PTA meetings. Write a monthly blurb for the Paw Print. Create school calendar and budget with Principal, Treasurer, & Board Members. Speak at Back to School Nights and other events as needed.

Oversees and coordinates the Fundraisinig events. Plans and implements ideas to keep this fundraising opportunities relevant. This individual and his/her committee may work closely with Membership.

Assign class parents, three per class, and class coordinators, two per grade level. Keep records up to date for new families.

With the president and board, generates the WES PTA budget. Prepares the annual tax return. Informs committees of budgeted funds. Pays bills and reimbursements as required. Oversees ongoing WES PTA finances, ensures adherence to approved WES PTA budget. Prepares and presents budget report for each WES PTA meeting.

Takes minutes at PTA meetings, forwards to president for review, and then submits minutes for inclusion on website. Makes copies of the minutes for the next PTA meeting so they can be approved by membership.  Prepares the WES PTA Newsletter.

Plan events designed for family enjoyment & sense of community. Events covered include Carnival (Oct), Mother/Son Dance (TBD), Father/Daughter Dance (Feb), & the End of the Year Activity (June).

Works with the Executive Committee to provide information on school events, needs and programs.  Provides direction to PTA programs on behalf of the faculty and teachers.

 

PTA COMMITTEES AND CHAIRS

Chairpersons oversee the annual Woolridge Carnival event, which includes bouncy houses, games, face painting, hair coloring, and the infamous cake walk.  In addition to the chairpersons, there are coordinators for each of these areas:  a Food Trucks Coordinator, Vendor Coordinator, and Cake Walk Coordinator.  Additionally, volunteers are needed to help sell, organize and pass out wrist bands.

Communicates with Class Basket Parents and Room Parents to organize donations for the class baskets that are won in the silent auction held in the library on STEAM night. Themes are arranged for each classroom and information about the contents of each basket is cataloged prior to setup. At setup, the committee is responsible for collecting baskets dropped off at the school and arranging them appropriately in the library. On STEAM night, the committee manages the auction, verifies winners, collects money and distributes baskets to winners.

Attends the county PTA meetings and reports back activity to the membership at the following PTA meeting. There is also an option to work with those interested to attend on a rotating basis if need be.

Works with WES administration and PTA volunteers to organize after school programs for students. Some programs typically available: Lego Program, Fitness Program. Coordinators usually needed for each program to organize interest and potentially check children in & out on program days.

Coordinate needs and maintain grounds at WES, including keeping an eye on interior courtyard needs. If weeds or maintanence in the interior is needed, contact the school office as orders to the county must be submitted (this is only for interior grounds maintanence).

Plans and coordinates activities such as the WES 5K & Kids Fun Run and WES Running Club that help to foster awareness of good health, safety, and respect for others.

Arrange for refreshments for teachers & staff during early release and planning days, as well as for certain school events; Muffins for Moms, Donuts for Dads, Grandparents Breakfast.

Keeps the school’s front marquee current & up to date.

Runs the annual membership drive at the beginning of the school year, coordinates the collection of PTA dues, coordinateS committee speakers at back to school night & other school functions as needed to explain the importance of membership. Work may begin in the spring prior to the next school year. Memberships are typically accepted through March.

Original Works is an art-based fundraising program that benefits WES. This committee organizes and coordinates artwork made by children that can then be made in to various items of choice (T-shirts, magnets, garden flags, etc.), and ordered by parents. This program typically occurs before the holidays as items make for wonderful gifts.

Responsible for coordinating Reflections contest entries, arranging for judges, and sending entries up to the next level, as well as an acknowledgement celebration for student participation.

Collects, clips, bundles and mails General Mills Box Tops. Conducts two contests during the school year to motivate the children to bring in Box Tops. Awards prizes to class winners. Other programs to oversee: Campbell Labels for Education, Cartridge World, Target, Food Lion, Kroger, Martin’s A+ Rewards.

Coordinates the sale of WES insignia articles of clothing and accessories two times a year.

Organizes and hosts the annual Teacher Appreciation Week luncheon held for faculty typically held during the first week of May. Organizes committee volunteers to present faculty and staff with a week full of appreciation including but not limited to cookie trays and notes/flowers from all WES children to show their appreciation to a teacher during the week.

Organizes volunteer sheets at the 1st of the year, getting all the proper volunteer names and info to the correct committee heads. Holds a volunteer meeting the 1st part of the school year in September, giving insight on available opportunities. Provides a presence at back to school nights to promote volunteerism. Time permitting, runs another volunteer meeting in January if needs still exisit.

Oversees the operation and upkeep of the WES PTA website, making sure it is current and functioning properly.

Provide needed yearbook info regarding cost & deadlines, organize purchases, provide pics, assist with layout development, and plan distribution of the yearbook.

 Some positions may or may not work with a committee.

All opportunities are open to develop committees should the need be present & if one is not already available.
